# Invite colleagues to your organization

Before colleagues can take the training you arrange, invite them to the same organization: your company’s space for members and content in SpeedL. Sending an invitation does not make someone a member; they must accept it.

## Open member management and choose an invitation method

Sign in as an organization owner or administrator and prepare actual colleague email addresses. Open Organization Members from the product menu. If you belong to several organizations, use the profile menu to select the organization these colleagues should join. If invitation buttons are missing, ask that organization’s owner or administrator to perform the task.

Invite one person by email, paste a list of people, or upload a spreadsheet. Each method requires checking roles, sending the invitation, and confirming acceptance.

## Invite one colleague

In Organization Members, select Invite Member to open the form below.

### Practice inviting one member

1. Enter the person’s email, such as learner@example.com.
2. Choose a role and read its description to check the permissions they need.
3. Add an employee number or identity tags if needed, then select Simulate sending an invitation.

Trouble inviting someone?

Invalid email format

Check both sides of the @ symbol, correct the address, then submit again.

Already a member or no seats available

Follow the message on the actual page. If they are already a member, search for their email in the members list.

Invitation created, but email was not delivered

Select Copy link on the members page and share it with that colleague. You do not need to create another invitation.

## Bulk Upload or Paste

<a id="invite-file"></a>

Follow the example through previewing, editing and simulated sending before working with your own list.

[Open bulk invitations](https://speedl.ai/creator/members/invite)

What should I put in the spreadsheet?

1. Keep the template headers and replace the example rows with your colleagues. Email is required.
2. Name, employee number and identity tags are optional. Separate multiple tags with semicolons.
3. Each batch supports up to 500 people. Parsing or uploading again replaces the current preview.

## Check the preview and send bulk invitations

Errors or missing people in the preview?

Correct invalid, blank or duplicate email addresses. If rows were skipped or roles adjusted, compare those rows with your original list before sending.

### Send Invitations

1. After checking the list, select Send Invitations on the actual bulk invitation page.
2. Review the sending result. Your colleagues still need to accept their invitations.

Some invitations failed?

The page keeps failed rows after a partial failure. Address each row’s reported cause before retrying; do not import the entire original list again.

## Confirm colleagues have joined

1. Ask your colleague to open the invitation and join with the invited email.
2. Refresh the members page and search for their email.
3. Check their role and identity tags, then arrange training.

<a id="member-identities"></a>

## Set training identities for an existing member

1. As an organization owner or admin, open “Organization Members”. Search by the colleague’s name or email and check that you have the right member.
2. In their “Identity” cell, select “Add identity” and choose the identity required for training. If it does not exist, enter its name and choose the create option.
3. To remove an identity, select the × beside it. After each change, wait for the “Identity updated” notification, then refresh to check the result.
4. Return to the journey settings and check that its audience identity matches this colleague’s identity.

Identities group members and determine training audiences. They do not change a member’s role or directly grant project editing access.
